What sequences do
A sequence is a series of timed email templates and tasks that a rep manually enrolls a contact into. The emails send from the rep's own connected email inbox (Gmail or Outlook), so they appear as personal emails from that rep in the contact's inbox. Between email steps, the sequence can include call tasks and LinkedIn connection tasks that the rep completes manually.
When the contact replies to any email in the sequence, HubSpot automatically unenrolls them. The rep is notified and takes over the conversation.
When to use sequences
- Outbound prospecting: reaching cold contacts who match your ICP
- Post-demo follow-up: structured follow-up after a first meeting
- Inbound lead response: systematic follow-up for inbound leads before they are fully engaged
- Re-engagement: reaching contacts who went cold after a previous conversation
What sequences cannot do
- Enroll contacts automatically based on behavior (a rep must enroll each contact)
- Send from a shared marketing email address
- Branch based on contact behavior (no if/then logic)

What workflows do
A workflow is an automated process that triggers based on a contact, company, deal, or ticket property meeting a set of conditions. It can send marketing emails (from a shared email address), update contact properties, add contacts to lists, create tasks, send internal notifications, enroll contacts in other workflows, and trigger webhooks to external systems. Workflows run automatically without any rep involvement.
When to use workflows
- Lead nurturing: sending educational content to contacts over weeks or months
- Lifecycle stage management: moving contacts from subscriber to MQL to SQL automatically
- Deal automation: triggering tasks or notifications when deals move between stages
- Onboarding sequences: automated welcome emails and feature activation prompts for new customers
- Re-engagement campaigns: automatically sending content to contacts who have not engaged in 90 days
- Internal operations: routing leads to the right rep, sending Slack alerts, updating data

How to Use Both Together
The most effective teams use sequences and workflows as complementary tools, not competing ones. A common pattern:
- A workflow nurtures a contact with educational emails over 45 days.
- When the contact visits the pricing page, the workflow detects the intent signal and creates a task for the rep to review the contact.
- The rep reviews the contact and manually enrolls them in a sales sequence for high-intent prospects.
- The sequence sends 5 personalized emails from the rep over 10 days.
- The contact replies, the sequence auto-unenrolls them, and the rep takes over.
The workflow handles scale and detection. The sequence handles the personal outreach that closes the deal. Neither tool does what the other does, and both are required to run the full motion.
